A chatbot answers questions. An AI agent takes actions — it can look up a record, update a system, send a notification, or escalate to a human, inside boundaries you define. That distinction is the entire reason most "AI chatbot" projects underdeliver: a bot with no access to real systems can only ever talk about a problem, not solve it.
Signs you need an agent, not a chatbot
- A task done manually, often, by a real person — categorizing tickets, updating a CRM field, checking stock before confirming an order.
- The task has a clear, checkable outcome — did the record get updated correctly, yes or no.
- You're willing to define what the agent can do autonomously and what it must hand to a human.
Signs a chatbot is enough
If the goal is answering questions accurately from your own documentation or data, a chatbot backed by retrieval (grounded in your real content, not the model's general knowledge) is simpler and cheaper than a full agent.
We scope this honestly before building either — see AI Agent Development and AI Integration Services.
